Public Relations Manager
Department: Marketing
Reports To: Public Relations DirectorPrimary Functions:
Manages public and media relations programs and projects to maintain and enhance GIA’s reputation and promote a favorable public image for GIA, under the general direction of the Director of Public Relations, by performing the following duties.
Responsibilities:
- Serves as media contact and spokesperson for GIA in conjunction with the Director of Public Relations.
- Prepares messaging (including key active and reactive messages, talking points); ensures that media messaging supports strategic goals and is integrated with marketing and business unit messaging.
- Works with GIA global and divisional leaders and staff, as well as stakeholders in the gem and jewelry industry for media and public relations purposes to support the Institute’s goals and objectives.
- Coordinates with GIA’s global locations to support media and public relations efforts.
- Develops and maintains relationships with trade and consumer media representatives.
- Prepares executives and GIA experts for media interviews; prepares talking points; advises on interview strategies; and provides feedback and coaching.
- Researches, writes and coordinates the preparation, approval and dissemination of materials, i.e., news releases, feature articles, and other types of written communication for consumer and trade media, and for internal use.
- Develops and successfully pitches stories to trade and consumer media.
- Measures, reports on and evaluates the effectiveness of media and public relations activities in conjunction with the Director of Public Relations.
- Produces press packets, prepares media lists and contact media regarding news releases, media inquiries and other communications activities.
- Oversees the assembly of graphics, images, and captions for news releases and media; ensures proper property license forms are completed.
- Supervises Public Relations Coordinator responsible for administrative tasks, media monitoring; social media; research; drafting and other duties as assigned.
- Maintains department vendor relationships; ensures agreements are current and all invoices and paperwork are submitted to the Accounts Payable department.
- Represents Communications/Public Relations on the Emergency Response Team (ERT) and assists director in managing all Public Relations functions during emergencies/crisis.
- Travels domestically and/or internationally to represent GIA and engage with media at trade shows, events and other business gatherings, as required.
- Serves as an official media tour guide for the Institute.
- Contributes to the building of team unity and the maintaining of quality in job performance to assist in keeping the Public Relations department focused on accomplishing its mission for the Institute.
- Communicates effectively, gets along well with coworkers and management, and deals with others effectively and professionally under pressure.
Supervisory Responsibilities:
- Supervises Public Relations Coordinator. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include, but are not limited to, interviewing, making hiring recommendations, and training employees; planning, assigning; and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Requirements:
- Bachelor's degree (B.A. /B.S.) from four-year college or university; preferably in Journalism, English, Public Relations, Communications or related fields; and five to seven years of related experience in a corporate or agency setting; or equivalent combination of education and experience.
- Experience with trade and consumer media - print, electronic and online - including media relations, story pitching, interview preparation, and as a spokesperson
- Experience working in a geographically-distributed organization, with a preference toward international communications.
- Excellent writing and editing ability with published examples; strong communications skills and experience
- Outstanding organizational, time management and multi-tasking skills; ability to prioritize and successfully manage multiple tasks and deadlines.
- Ability to take initiative and follow through, be flexible, and possess a high level of professionalism.
- Proven ability as a team player with superior interpersonal and listening skills who can work productively and closely with all employees at any level within the Institute.

Digital Marketing Specialist
Department: Marketing and Advertising
Reports To: Senior Manager, Marketing and AdvertisingPrimary Functions:
Provides a range of digital, web, and video-based services, providing the Institute with materials to effectively represent GIA’s products, services, accomplishments, and points of view to customers and the public in accordance with determined Marketing and Advertising initiatives and the GIA brand, by performing the following duties.
Responsibilities:
Web:
Serves as Marketing & Advertising’s technical expert in matters relating to the CMS, including creating user interfaces and building web pages using existing graphic templates, as well as creating new templates; training other staff, troubleshooting problems and issues, and performing routine web content updates, as needed.Creates and oversees the design, production, programming, and maintenance of all Institute micro sites, Facebook, Twitter, and YouTube interfaces.
Coordinates content and graphics for use on the GIA website and micro sites; obtains necessary releases; researches, reviews and negotiates appropriate licenses for music and graphic images used.
Digital Marketing:
Develops digital content publications with interactive components, including but not limited to video, slide shows, quizzes, and fillable forms.Creates campaign graphics for email marketing and online advertisements (web banners and tiles – interactive and still).
Digital Technology Trends:
Remains abreast of digital technologies (mobile phones - SMS, tablets, desktop, etc.) and trends to recommend best practices, and to determine which may be applicable to our industry and company to support GIA marketing strategies.Social Media:
Uses knowledge of how social media integrates to current and upcoming technology and recommends how the Institute should integrate it across digital collateral, web, and video. Maintains a solid understanding of the marketing potential of social platforms including: Facebook, Twitter, YouTube and others.SEO and Metrics:
Manages data for websites and micro sites.Presentations:
Designs and prepares web-based and print (PowerPoint) presentations.Video:
Organizes resources for video production and post-production; including collecting existing video and graphic assets. Collaborates with in-house video production team or third party production group to shoot raw footage, digitize it, edit, and add text, graphic, music, and voice effects, producing DVD, Mini-DVD or web-ready content.Additional Responsibilities:
- Acts as project liaison with outside vendors, intra-company departments and IT personnel and communicates highly technical issues regarding web, video, and other technical matters.
- Provides additional graphic and technical support to departments and locations Institute-wide, as needed.
- Provides production and project coordination of marketing initiatives undertaken in support of the Marketing & Advertising team' s efforts.

Qualifications:
- Bachelor's degree (B.A. or B.S.) from four-year college or university required; Web, Video, or Graphic Design, or related field preferred; and three or more years demonstrated web and video experience; or equivalent combination of education and experience.
- Ability to use Content Management Systems, including Oracle Web Center Sites quickly and efficiently.
- Knowledge of search marketing terms and key words, and a strong command on SEO – understanding of organic on-page optimization, meta data, PPC, referring links.
- Demonstrated strong graphics background and a portfolio with emphasis on website design and multimedia presentations.
- Knowledge and understanding of web and video production processes, and the procedures of marketing, including promotional concepts, artistic design and effective layout, web page presentation design, and production.
- Ability to read, interpret, edit, write, and debug various forms of computer code including HTML/CSS (2/3).
- Proficient with web content management systems, embedding videos on web pages, and CSS layout for web page production.
- Proven skill set to develop content across multiple formats including, but not limited to, web, interactive collateral, and video. Topics will span across education, the laboratory, research, and instrumentation in the gem and jewelry industry, thus technical proficiency in product lines of these natures is critical.
- Excellent knowledge of digital graphic design practices and procedures including typography, layout, color, depth, usability, and file exporting.
- Ability to measure content performance in quantitative as well as qualitative forms, and apply key learning to the next project.
- Ability to think strategically, analytically, and technically about content. Demonstrate capacity for developing and understanding strategy and translating that strategy into practical deliverables.
- Ability to manage and prioritize multiple projects and ensure deliverables are completed on time and on message with total accuracy and attention to detail.
- Possess excellent organizational skills.
- Ability to adapt, maintains flexibility, and learn quickly.

Building Services Technician II
Department: Building Management
Reports To: Manager, Facilities
Primary Functions:
Provides overall general building maintenance by performing the following duties.Responsibilities:
- Provides general building maintenance up to and including general maintenance support for all construction and relocation projects.
- Troubleshoots and makes repairs to or replaces plumbing, parts and fixtures as necessary.
- Installs, troubleshoots and makes repairs as necessary to electrical system, including, but not limited to wiring, replacement of ballast, lamps and fixtures.
- Makes repairs to drywall, patching, taping, texturing and painting.
- Participates in setting up conference rooms and common areas for events.
- Maintains Building Services parts, equipment and tools.

Systems Administrator

Reports To: Manager, IT ServicesPrimary Functions:
Provides customer support for PC setup/break/fix, installation and administration of network devices, telecommunications devices and associated applications and peripheral device support. Ongoing support of Microsoft applications and enterprise systems as required.
Responsibilities:
- Analyzes problems with hardware and software on the phone and in person.
- Works with end users to ensure the proper functioning of hardware and software applications.
- Installs, configures, and maintains the organization's desktops.

Developer, PeopleSoft Financials
Department: Information Technology (IT)
Reports To: Manager, PeopleSoft ApplicationsPrimary Functions:
This position is responsible for the daily production support and maintenance of the PeopleSoft Financials system primarily in the technical area of PeopleSoft Finance, by performing the following duties.Responsibilities:
- Analyzes, designs, develops, tests and deploys new functionality, as well as analyzing, troubleshooting and resolving technical issues.
- Anticipates and identifies issues as they arise; monitors and reports to management on the status of efforts.
- Modifies existing PeopleSoft components, creating custom bolt-on applications, integration between other PeopleSoft and non-PeopleSoft applications.
- Works to understand system issues and provide resolutions.
- Adheres to departmental System Development Life Cycle standards (programming, testing, documentation, incident reporting, etc.).
- Adheres to best practices and company policies and procedures regarding naming conventions, version control, and change management.

Database Administrator
Department: Information Technology – Systems Development
Reports To: Director, Global-Applications & Database ServicesPrimary Function
Plays a critical role in ensuring the efficient and effective operation of GIA’s primarily Oracle-based database systems’ processes. Primary duty is to assess, in coordination with management of each Department, Database Systems needs; to design and develop new processes and procedures, or modifications to existing processes and procedures, to meet these needs; and to coordinate with and provide direction to members of the Information Technology department to implement and ensure the proper functionality of the system throughout GIA, by performing the following duties.
Responsibilities
- Provides primary database support for establishing, upgrading and maintaining the Oracle, MS SQL Server and other database software on Linux, Windows and UNIX operating systems.
- Provides support on production, development, and testing environments. This includes, but is not limited to, creating and managing database instances, creating and managing users, granting privileges, establishing and following backup and recovery procedures, monitoring systems, maintaining data integrity constraints, data import/export, monitoring lock contention, setting up data replication procedures, and tuning databases.
- Installs, configures and sets up tools for monitoring application, database, and system performance.
- Installs, upgrades, configures and provide support for PeopleSoft and other ERP Modules licensed at GIA including HRMS, Payroll, Student Administration, CRM Marketing etc.
- Creates and maintains operating system scripts for database and application maintenance.
- Provides database administration support function for databases at Carlsbad, New York, and other GIA locations.
- Provides support on database administration function for Web development projects.
- Establishes and adheres to service level policies and offers solution and suggestion for required performance and availability.
- Monitors log(s), activity, and resource utilization of production environment.
- Works with application programmers to insure that application problems do not adversely affect production operations.
- Acts as liaison between application programmers and Database Management Systems (DBMS) vendor to report and resolve problems.
- Provides after hours on-call support for critical database issues.

Responsible for providing quality and efficient client service through the daily management of the client service and gemological service teams, by performing the following duties.Essential Duties and Responsibilities
- Manages Client Service and Gemological Service teams, providing strategic direction to improve processes and procedures, training, and performance evaluations to develop and improve the client service functions.
- Supports the Director, Lab Operations with daily operation of client and gemological service centers.
- Works closely with Lab Operations Director (and Human Resources Manager, as appropriate) to include the development, analyses and implementation of staffing, training, scheduling, and reward/recognition programs for staff.
- Works as a member/leader of special or on-going projects that are important to area/process improvement.
- Provides daily direction and communication to client service employees so that clients are assisted in a timely, efficient and knowledgeable manner.
- Provides continual evaluation of processes and procedures and suggests methods to improve area operations, efficiency and service to clients.
- Provides performance feedback and coaching on a regular basis to Client Service and Gemological Service Teams.
- Develops and implements strategic plans to address client requirements.
- Act as primary liaison between clients and lab when difficult client service issues arise.

Security Officer
Department: Safety and Security
Reports To: Manager, Security and SafetyPrimary Functions:
Ensures a secure and safe environment for GIA personnel, students and the public, by performing the following duties.
Responsibilities:
- Patrols the Institute grounds while providing a visible presence.
- Aids in parking enforcement.
- Represents GIA as a professional security representative to employees, students and visitors.
- Directs and/or escorts visitors and vendors as needed.
- Assists in special tours of the Institute.
- Submits written reports to Security Supervisor on observations regarding security, maintenance or safety issues.
- Responds to alarms as directed.
- Provides GIA Education Department with additional security or safety issues.
- Monitors and ensures that CCTV equipment is operational.
- Assists in evacuation and crowd control in the event of an emergency.
- Responds to emergency situations on campus. Administers first-aid as required.
- Operates emergency equipment as needed.
- Locates and operates emergency shut-off systems as needed.
